Privacy Policy

This template is provided for transparency and should be reviewed by your own legal counsel before launch.

1. Who we are

cheaply (“cheaply,” “we,” “us,” or “our”) operates cheaply.ai and provides an AI “front desk” for home-services businesses such as plumbers, HVAC technicians, and electricians. Our service answers your calls with a natural-voice AI, texts back the callers you miss, qualifies each lead, and books the job into your calendar — around the clock.

This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have. It covers our marketing website, your account dashboard, and the AI call-answering and texting service. It applies both to our customers — the businesses who use cheaply — and to the callers and customers who reach those businesses through our service.

2. Information we collect

We collect information you give us, information generated as the service runs on your behalf, and technical data from your use of our website and dashboard:

  • Business and account information — your name, business name, email address, phone number, trade, service area, pricing details (such as a diagnostic or trip fee), chosen plan, and login credentials.
  • Call audio, recordings, and transcripts — when our AI answers or places calls for you, we process the call audio and generate recordings and written transcripts so the service can understand, respond, and keep a record of what was said.
  • Caller and customer contact details — the name, phone number, service address, and job details a caller provides, including the problem they describe, its urgency, and their preferred time.
  • Booking data — appointment times, job type, status, notes, and the calendar availability we use to hold and confirm a slot.
  • Usage and device data — log data, IP address, browser and device type, pages viewed, actions taken in the dashboard, and information collected through cookies and similar technologies.

3. How we use your information

We use the information above to run the service and support your account:

  • Provide the service — answer your calls, text back missed callers, qualify each lead, book jobs into your calendar, and send confirmations and follow-ups.
  • Operate your account — set up your dedicated number, handle billing, respond to support requests, and send you notifications about new jobs and missed calls.
  • Improve call handling — tune how the AI understands callers and responds, and measure the quality and accuracy of its answers so the service gets better over time.
  • Support and security — troubleshoot issues, detect and prevent fraud or abuse, and keep the service reliable and secure.

4. How we share information

We do not sell your personal data. We share information only in the limited circumstances below:

  • Service providers and subprocessors — trusted vendors who help us run the service, such as telephony carriers that place and receive calls and texts, AI and voice-model providers that transcribe speech and generate replies, cloud hosting and infrastructure providers, payment processors, and analytics tools. They may access information only as needed to perform their work for us and are bound by contract.
  • Legal compliance — when we reasonably believe disclosure is required to comply with a law, regulation, legal process, or lawful government request, or to protect the rights, property, or safety of cheaply, our customers, or the public.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

5. Data retention

We keep your information for as long as your account is active and for a reasonable period afterward to meet legal, accounting, and dispute-resolution needs. Call recordings and transcripts are retained according to your settings and applicable legal requirements. You can ask us to delete information associated with your account at any time by emailing privacy@cheaply.ai; we may retain limited data where the law requires it.

6. Security

We protect your information with encryption in transit and at rest, access controls, and least-privilege practices that limit who can view sensitive data. No method of transmission or storage is ever completely secure, so while we work hard to safeguard your information, we cannot guarantee absolute security.

7. Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or export the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, email us at privacy@cheaply.ai and we will respond within a reasonable time.

If you are a caller whose information we processed on behalf of a business that uses cheaply, that business is the controller of your data — please contact them directly, and we will assist them in honoring your request.

8. Call recording and consent

Our service records and transcribes calls so it can answer, qualify, and book jobs. If you use cheaply for your business, you are responsible for complying with the call-recording and consent laws that apply to you and your callers, including any one-party or two-party consent requirements and any disclosures you must provide. We offer tools such as greeting disclosures to help, but you determine how the service is used lawfully in your jurisdiction.

9. Cookies

Our website uses cookies and similar technologies for authentication — to keep you signed in — and for analytics that help us understand how the site is used so we can improve it. You can manage or disable cookies through your browser settings, though turning some off may affect how parts of the site work.

10. Children’s privacy

cheaply is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18 (or under 16 where a lower age applies). If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the revised policy here and update the “Last updated” date above. For material changes, we will provide additional notice where appropriate.

12. Contact us

If you have any questions about this Privacy Policy or how we handle your information, email us at privacy@cheaply.ai.
